PATROL LEADER's COUNCIL

TROOP SCRIBE (Appointed by the Senior Patrol Leader)

Responsible to: Assistant Senior Patrol Leader (and works with the troop committee members as needed)

SPECIFIC DUTIES:

  • Set a good example to other Scouts in attitude, uniform, behavior and speech. Exemplify the Scout Oath and the Scout Law.
  • Be active in the troop.
  • Attend all meetings of the patrol leader's council and keep a log of it's decisions. The Scribe is a non-voting member of the PLC.
  • Collect fees and permission slips for all Troop activities and camping trips at Troop meetings. Work with the adult responsible for that activity in organizing and collecting these items for activity planning.
  • Ensure weekly Troop Meeting attendance is recorded in the Troop’s computer database. This includes printing the attendance form for each month, taking attendance just after the opening ceremony, then entering the data into the computer. When the Scribe can not be present, he should notify the Senior Patrol Leader and/or Assistant Senior Patrol Leader in advance so they can ensure attendance is taken.
  • Record activity/camping trip attendance on the (Troopmaster database) computer. This is very important to have done as soon as possible after the activity to ensure that scouts get credit for advancement purposes.
  • Collect Merit Badge Applications from each patrol leader at each Troop meeting. (Scouts submit their merit badge applications to their patrol leaders.)
  • Assist the Troop Advancement Chairman as needed and requested, duties including:
    • Collect advancement submissions before 8 PM to give time to complete all tasks prior to the closing ceremony when badges are awarded.
    • Entering completed Merit Badge applications into the advancement record of each scout on the (Troopmaster database) computer.
    • Entering Board of Review results (form will be submitted to you by the board) for rank advancement into the (Troopmaster database) computer.
    • Assist the Advancement Chairman in completing the Merit Badge Certificates and Rank Certificates which are earned/awarded at each meeting; Get the Scoutmaster’s signature on the certificates; (and Senior Patrol Leader’s signature where applicable); attach the merit badge or rank badge to the certificate so that the Scoutmaster can award them at the closing of the meeting.
    • Enter advancements on the Troop Advancement Report for the Advancement Chairman to present to the Council office.
  • With the advise and consent of the Scoutmaster and Senior Patrol Leader, appoint and train a substitute to handle any of these duties when you are unable to be present. The ideal would be to choose the person who might be appointed to be Scribe after your term of office expires.
  • Wear the uniform correctly!
